“I don't wanna pay for four people if only three are going and we're making it to one room.”
Next best action
The assigned travel planner should immediately contact the Onclusive resort to confirm the room consolidation (two rooms → one room for three people), issue a corrected invoice reflecting the new rate, and email it to Tori before the final payment deadline next week. Follow up with Tori by end of business today with the new payment amount.
Full analysis
What happened

Tori called to resolve a payment adjustment for an Onclusive resort condo booking. Originally booked for four people in two rooms, one guest (McKayla) dropped and the party needs to consolidate to one room for three people. Tori had emailed Mandy (their original planner) with this information but received no confirmation or updated invoice. Anastasia located the booking, confirmed the party-size change request was noted, and transferred Tori to another travel planner to finalize the room consolidation and issue a corrected invoice before the final payment due date next week.

Emotional read

The customer is calm and methodical, clearly prepared with their booking number and the dropped guest's name. They are mildly frustrated about the communication gap (Mandy's illness, lack of response after providing McKayla's name) but trust the process and are cooperating fully.

Emotional arc through the call

remained calm and cooperative throughout, slightly relieved when Anastasia acknowledged the situation and offered to transfer to another planner.

How customer sees Pavlus
  • neutral · customer mentioned working with Mandy previously and trusting her; no explicit praise but implicit comfort with the planner relationship
  • negative · frustrated that Mandy went sick without handoff; no confirmation email or invoice update received after requesting the change
Process friction
  • primary planner (Mandy) became unavailable without a clear backup or follow-up on pending changes
  • customer did not receive updated invoice or room consolidation confirmation after submitting change request
  • change request appears to have been logged but not acted upon (resort may not have been contacted to confirm the room modification)

Agent (Anastasia Thomas): Good morning. Thank you for calling pals travel, this is anna stai. Guest relations. How may I help you today?
Customer: Hi! I've been working with Mandy, we booked a Onclusive resort in a condo through her. I've been emailing her but I believe she's sick recently and we need to be making a final payment next week but we had somebody dropped from our party and I haven't received what the final payment change is going to be yet so I just need to get that information so I know how much we're gonna be paying.
Agent (Anastasia Thomas): Oh, certainly. Let's take a look here and see. I was just double checking to see if Mandy's definitely not in the office. She's not however we can still help. Do you happen to have your booking number?
Customer: Let me check real quick.
Customer: I just know that she never changed the room yet. So one second.
Customer: Okay.
Customer: Okay, the reservation number.
Agent (Anastasia Thomas): Yes, go ahead.
Customer: H, six, C. As in cat, 773, F as in Florida. W. As in lambing.
Agent (Anastasia Thomas): Okay, thank you very much. I have that loading now and alright I see that is starting August 7th. Typically I ask if you're traveling with her referral or a group but it sounds like it's a small group. From what I understand you telling me. I heard you say that one person is no longer going to be on the trip, or was it a, a group part of the group?
Customer: Just one person. So we originally had two rooms booked with four people total and I emailed Mandy telling her that only so one person drops, gave her the name and so now we're doing a three person for one room and I know that changes the price of it. I just don't know if she went ahead and did that confirm that with the actual resort or not, cause I never got a confirmation with the invoice and all that info so I don't wanna pay for four people. If only three are going and we're making it to one room, so.
Agent (Anastasia Thomas): Got it.
Agent (Anastasia Thomas): Yeah.
Agent (Anastasia Thomas): That's understandable. So, I know that you gave Mandy the name. But her notes only tell me that your email specified that you may only be having one triple room and that she emailed to verify before making the change. So, I just wanted to check the name for my notification and that of the travel planner that I'm going to connect you with. So who's not coming.
Customer: Yes.
Customer: Mm-hmm McKayla.
Agent (Anastasia Thomas): McKayla. Okay, got it. Alright.
Customer: Yeah, I replied with her name and then I never heard a response after that, so.
Agent (Anastasia Thomas): Got it. That must be when she went out sick. Okay.
Customer: Yeah.
Agent (Anastasia Thomas): It'll be one moment.
Agent (Anastasia Thomas): Just adding to my notes.
Agent (Anastasia Thomas): Okay, I'm going to get a hold of one of our other travel planners to go ahead and get this taken care of for you. It should be just a few minutes if I can place you on a brief hold.
Customer: Mm-hmm.
Customer: Okay, thanks.
Agent (Anastasia Thomas): My pleasure.
