“You've been very informed, I don't get as much detail when you look at their contract but you have explained the airline for me very well.”
Confirm in writing the key decision points: (1) dates can be adjusted ±3 days at no cost, (2) custom air window opens June 16 at $199/person, (3) contract pricing remains if custom air is not selected. Call Charlie back mid-June to facilitate custom air request if desired.
Full analysis
What happened
Charlie called to understand how air is included with his March 13 Oceana cruise from Bali to Hong Kong. He didn't know the mechanics of when flights are assigned or how custom air works. The agent explained that standard air assignment happens around 120 days prior, but for $199 per person he can request custom air as early as June 16 (270 days prior) to see options before committing. Charlie was initially concerned about timing and pricing strategy, worried about being locked in. The agent clarified that he can adjust arrival/departure dates up to three days on either end at no cost, and that custom air pricing remains contract-based though schedule options may vary. Charlie ended the call satisfied, thanking the agent for the detailed explanation and confirming he'll contact them mid-June if he wants to pursue custom air.
Emotional read
Charlie started cautious and somewhat confused about the mechanics of air assignment, asking clarifying questions repeatedly to ensure understanding. He was respectful and appreciative of the agent's patience, warming noticeably by the call's end when the agent confirmed details. His emotional tone shifted from slightly anxious about being locked in to more confident after learning about the three-day date flexibility option.
Emotional arc through the call
Started uncertain and slightly anxious about air assignment timing and potential lock-in, warmed considerably after learning about date flexibility and custom air options, ended appreciative and confident in next steps.

Agent (Leann Wright): Thank you for calling Pavlus travel air department. This is Leanne. How may I help you. Customer: Yes, my name is Charlie bush and wife and I have a cruise with brook, through Oceana to bale from bally to Hongkong next March and I didn't talk to you about how the, how the a deal is gonna work. I assume it's gonna start off by the inclusive air we have in our package. They're gonna send us a an itinerary that they want to send us on or what, how is that, is that the way it works? Agent (Leann Wright): Okay. Agent (Leann Wright): Well, there's a couple of ways we could do that. You could do that and they'll send you an itinerary that works within their allotted pricing, or if you want to do flights early, I think it might be too early for these dates but they have a custom air program, it's $199 a person. So you can get flights early and then if you pick a specific flight that cost more money than there might be a fair difference too but they might be able to do it without a fair difference. So, you know, it's totally up to you if you wanna. Customer: I assume what we'd like to do if there's time would be to get there or you know, what they would provide to us at no cost and then if we don't like the dates the price or something we don't like about what they're gonna, maybe it's made too many stops or who knows what then request the customer. I'd like to see first what they have. That we could get it no additional cost. Agent (Leann Wright): Mm-hmm. Agent (Leann Wright): Okay. Agent (Leann Wright): Mm-hmm. Agent (Leann Wright): Okay, they usually assign that out like, I think it's a 120 days prior that they actually assign that out or a 110 days, correct? Customer: But the question. Customer: Well I was really told by the, when we booked the cruise, booked this cruise on a previous cruise we get it about a year in advance. Maybe that's a little bit off but it, but it's a lot more than just four weeks, four months prior but by then we've made our final payment. Agent (Leann Wright): Mm-hmm. Agent (Leann Wright): That's customer, yeah, it's, that's right. That's customer, customer, you can get it farther in advance it's a 199 a person and they allow you to do it at 270 days. So, so it's about nine months roughly, in advance. Customer: So, I'm sorry you're saying what about 270, what's gonna happen? Agent (Leann Wright): 270 days prior to departure. You could do custom air and that's a 199 a person. Otherwise, you don't get flights until much closer to sailing. Customer: So let, let me see how this works. So, at 200 and about 27970 days prior to sailing, what happens? That, that's. Agent (Leann Wright): Mm-hmm if you want to get flights early we'll do custom air for you. If you accept flights that's $199 per person to do custom air. If you don't pay the $199 a person, you're not gonna see what flights they're gonna give you until I think it's a 120 days prior, but it might even be inside of that. Let me see if I have information on. Customer: But even, even then we thought, well basically it's past the point no return, basically as far as canceling it. Agent (Leann Wright): Yeah, they do that on purpose, I think. Customer: It sounds like it's. Agent (Leann Wright): I mean, honestly if you don't do custom error if you're picky about your flights, people get flights they don't like, and then we call Shannon, they don't have something else available. So if you are not picking and we'll just accept whatever they give you. Great. But if you want different flights and they're willing to pay the $199 a person, you should do it, as far as, as advance as you can rather than waiting until the last minute because by then all the flights will be gone. Customer: So what's your record? What you're recommending? I think. Or if you were my position, what would you do? I mean it sounds like what you're saying is go ahead and apply for the custom error and we're only gonna be billed with the customer error if we accept it. Is that right? Agent (Leann Wright): The flights. Agent (Leann Wright): Well. Agent (Leann Wright): It. Agent (Leann Wright): That is correct, that's correct, yeah. And that's when you accept, it's $109, right? But when they assign flights to you later on, if you see it now and decide not to pay when they assigned flights, you need later on. It could be a totally different schedule that you get, it might not be this one. So you might think, oh, that's what they're gonna give me, it might not be. Customer: So, it doesn't hurt to apply for. Customer: Yeah. Wait, wait, what? Agent (Leann Wright): It's up, I mean, it depends how much of a gambler are you. I mean, if you wanna wait and see what they give you, that's fine if you know, but by then a lot of times the better schedules are gone. Customer: Right. Agent (Leann Wright): So, it's up to you. Agent (Leann Wright): Do you have a booking number? I'm not seeing an ocean cruise. Okay. Customer: Yeah, yes, I did, yes. I yeah, I'm glad do it. It's 390-1570. Agent (Leann Wright): Let me find that booking and see exactly when it's for. Agent (Leann Wright): We go. Customer: It's for next March the U. I'm trying to look at the sailing date the thirteenth. Agent (Leann Wright): Okay. Agent (Leann Wright): So, right. So let me see when it's open up to do custom error. So, 270 days from March 13th. Customer: So it opens up to our customer, opens 270 days prior. Agent (Leann Wright): 16th of June, exactly. So that's the 16th of June we can't even do flights before that for you. Even if you're willing to pay $1 million for it, they won't like to do it. That's when it open. June 16th is when that opens. Yeah, so if you want, if you want flights before that we can certainly remove the air with Ohana. And you can have via book something for you or you can book whatever's in the marketplace on your own, you know whatever you want to do if you want them before that. But otherwise, customer is June 16th it's not gonna be until much, much closer. Customer: I'm sorry, that what did you say that's June. What? Customer: June 16th. Customer: Okay. Customer: Do they do they typically get a better price and I'm going to get the open market and what other customers find out? Agent (Leann Wright): Mm-hmm they used to, they used to always have a better price than what was in the market. We're seeing more and more that none of the cruise lines are getting a better of the airlines have really been very tiny with what their schedules are giving to the client. So if, I mean, they'll honor this price, if you take what's in their contract rate, it might not be something you like if you want a better schedule you might be better off booking it on your own. So, if you want see what they'll give you at the 270 days you know we can wait till mid June and see what they'll give you and you can remove the air then but if you're seeing. Customer: Yes, they're right. Customer: Okay. Customer: But, but, but I thought, I thought you told me that we don't get. I thought you had applied earlier that we don't get the they, what they would try to, to seventy days prior, we're getting a lot a 120 days prior. Agent (Leann Wright): Right. Agent (Leann Wright): If you do custom air, right, exactly, if you just sit around and wait for what they're gonna computer assigned to you it's closer. But if you want to do customer, we can do that. June 16th so you can see what it is. I mean that's still you know, more than a month away, six weeks away. So, if you want flights booked sooner than that, you can't do it with Osana. You need to book them separately. So you can. Customer: Right. Customer: Right. Customer: Okay. Alright. Customer: So it sounds like the we can book it now or we can wait and request customer 270 days prior and see what the piny is and what the cost is. And then we, we and then we still have the option to just still book our own thing or take that or just wait and take what, what's included in the contract whatever they give us. Agent (Leann Wright): They're. Agent (Leann Wright): Mm-hmm mm-hmm, right? Agent (Leann Wright): Right, or you can wait till like four months prior just roll the dice. Agent (Leann Wright): Absolutely, right. Agent (Leann Wright): Exactly. I mean it's hard to get to valley. I mean, the flights in and out of Hongkong aren't too bad but boy is one of those airports, it's very hard to get in and out of so the schedules are terrible no matter what you do. So. Customer: Okay. But I mean, in our situation what? Customer: I've seen that from looking at, what they, what flights I do have? Agent (Leann Wright): Yup, right. Customer: Would really, I mean the way they've got it done. We bought, we fly the boy and board that day and are Gong. We don't get Chea boy. We've almost got to do some kind of custom error cause we're not gonna skip on boy and the same thing with Hongkong at the end of the flo it is it the cruise? We couldn't go ahead. Agent (Leann Wright): Well. Agent (Leann Wright): You can. Agent (Leann Wright): You don't have to do custom air to change your dates you can do up to three days on either end for free. So right now you're supposed to arrive there on the thirteenth but we can tell them, oh, you want to arrive on the tenth or you won't, you know whatever date it is the eleventh and they'll set up the air to arrive on that date you know at they'll, yes. Customer: Oh, okay. Customer: Oh, okay. I didn't know they used to do that. Did they waste on that? That's not my memory. Okay, okay, thank you. Agent (Leann Wright): That's about two years they started doing that. It's fairly recent, it hasn't always been that way. But, yeah, you can deviate and we just give them the dates you want to fly in and out and they will. If you wait until, you know, the last minute when they're assigning the flights to you, they'll assign them on that date, you get what you get. But they'll set it up that way. So you can just decide which dates you want and we'll let Ohana know and then if you want to do custom error, we can do that mid June or you can, you know, roll the dice and see what you get or we can take the flights off if you want to just get air sooner than June, so. Customer: Yeah. Customer: Okay. Customer: Okay. Okay. So, it sounds like if Oceana really wants to kind of take advantage of their position if we if we request a custom error they can try to gauges a little bit on price and not get the guaranteed price it was in the contract was, is that right? Agent (Leann Wright): Well, I mean, no, they'll find something for you that's in contract. But it'll be, some, sometimes it's not a great schedule. If you want it something better then they'll add a fair difference so you can see what they have. If you want to do it that way. But it will cost you the $199 a person if you want the flights in June. Customer: The phone. Customer: Okay, so. Customer: Let me, let me one last time and I appreciate you taking the time with me lean. So if we don't do anything we're not gonna find out what we would get for free or not for free but within the contract price if you will until about a 120 days prior, is that right? Agent (Leann Wright): Sure, no, that's okay, I know it's complicated. Agent (Leann Wright): Correct, that is correct but we can certainly adjust your dates. We can tell us Shana in advance. Hey carefully the, so you know, if you, if you want to roll the dice and see what you get much closer, that's great. Just let us know what dates you want so that they book it correctly and you know, that's certainly an option for you. Customer: Right. Customer: So, so, so once, once again, just to understand then as far as the contract price, they might give us a, we can adjust the dates arrive and are the dates re return at no additional cost. Is that right? Agent (Leann Wright): Mm-hmm. Agent (Leann Wright): Alright. Correct. That is correct. Yup. Up to three days, if you want more than three days, then it's customer but yes. Customer: That, that's on, in, we could add three days from front and three on the back. Okay, alright. Okay. Well great. You've been very informed, I was, you don't get as much detail when you look at their contract but I, yeah, you have an airline for me very well. Agent (Leann Wright): Correct. Agent (Leann Wright): That is correct, yeah. Agent (Leann Wright): Oh, good, good. Alright, well, let us know if you need to change dates. We'll let, let Ohana. Know what dates you want and then call us back mid June if you want to pursue the customer thing, okay? Customer: Okay, alright, great. Well thank you very much. Have a good day. Agent (Leann Wright): Oh, my pleasure. Thank you. Bye-bye. Customer: Bye.
